Five signs your customer data needs cleaning
Messy data rarely shows until it costs you: bounced emails, reports that don’t match, and missed opportunities. Here are five signs, and what you can do about them.

01One customer, many records
The same customer is recorded with different codes, name spellings, or addresses. Your customer count looks bigger than it really is, and one person can receive the same message several times.
02Lots of bounced emails
Emails that fail to deliver mean addresses are out of date or were mistyped from the start. Besides wasting money, this can hurt your sender reputation, so even valid emails land in spam more often.
03Inconsistent formats
Specialties, cities, or categories are written in different ways, such as "Sp.PD", "Internal Medicine", and "Internist" for the same thing. Data like this is hard to group and count correctly.
04Reports don’t match across teams
Sales and marketing quote different numbers for the same thing. The cause is usually not a wrong formula but different underlying data.
05Nobody knows when the data was last checked
Data keeps changing: people move, change numbers, or retire. Without regular checks, data quality slowly declines without anyone noticing.
06What is the first step?
Start with an assessment: measure how much of your data is duplicated, incomplete, or invalid. That tells you where to focus the cleanup.
Once the data is cleaned, standardized, and validated, keep it that way with regular audits so the same problems don’t come back.
